The Role & Responsibilities

As a Receptionist at Weald of Kent Grammar School, you will be the first point of contact for students, staff, parents, and visitors. Your role is pivotal in representing the school’s values and ensuring the smooth running of daily administrative functions.

Front Desk Operations

  • Welcome Visitors and Students
    Greet guests and students professionally and warmly, helping to create a welcoming atmosphere and provide assistance as needed.

  • Handle Incoming Calls
    Answer and direct telephone calls efficiently, taking clear messages and providing accurate information to callers.

  • Visitor Registry Management
    Ensure all visitors sign in and out, issue badges, and comply with safeguarding procedures consistent with school policy.

Administrative Support

  • Manage Correspondence
    Handle emails, letters, and enquiries promptly, maintaining confidentiality and professionalism in all communications.

  • Provide General Clerical Assistance
    Support staff by distributing post, updating contact lists, managing sign-in sheets, and assisting with school communication tasks.

  • Schedule and Calendar Support
    Help coordinate appointments for meetings, parents’ evenings, and other school events as needed.

Office Coordination

  • Assist with Student Queries
    Respond to students who come to reception with queries or issues, and guide them to the appropriate staff member or resource.

  • Support Attendance Recording
    Help note late arrivals or absences in the attendance system when required, ensuring the data is accurate and up-to-date.


Qualifications

  • Previous Reception or Administrative Experience (Preferred)
    Experience in a school or educational environment is desirable but not essential. Familiarity with multi-line phone systems and customer-facing roles is a plus.

  • Strong Communication Skills
    Clear, confident verbal and written communication is essential for interacting with parents, staff, and students effectively and professionally.
